Candidate Privacy Notice

At ANYbotics, we want you to understand how we use and protect your personal information during recruitment.
This notice applies if you apply for a role, are referred to us, are represented by a recruitment agency, or are contacted by us about a potential opportunity.
In short
- We use your information to manage recruitment and assess your suitability for roles at ANYbotics.
- Technology and AI may support our recruiters, but hiring decisions are made by people.
- Interview recording and transcription are optional and require your agreement.

Who is responsible for your information?
ANYbotics AG is the controller responsible for recruitment-related personal data globally.

What information do we collect?
Depending on your interaction with us, we may collect:
- Your name, contact details, location and communication preferences
- Your CV, employment history, education, qualifications and skills
- Professional profiles, portfolios, work samples and publicly available career information
- The role you are interested in, your availability, location preferences and compensation expectations
- Application answers, interview notes, assessment results and hiring feedback
- Communications with our Talent team, interviewers and recruitment partners
- Reference details and feedback provided by your referees
- Information needed to prepare an offer or confirm your right to work
- Immigration, relocation or employment-administration information where relevant
- Interview recordings or transcripts where you have agreed to them
- Technical information generated when you use our recruitment systems
We may process limited sensitive information when necessary, for example if you request an interview accommodation or provide information relevant to your right to work. Please do not provide sensitive personal information that is not relevant to your application.
Where does the information come from?
We receive information:
- Directly from you
- From LinkedIn and other publicly available professional sources
- From recruitment agencies
- Through employee or professional referrals
- From referees you provide
- From recruitment and assessment systems used during the process
LinkedIn and other external platforms are also responsible for information processed through their own services under their respective privacy notices.
How do we use your information?
We use candidate information to:
- Identify and contact potential candidates
- Manage applications and communicate with you
- Schedule and conduct interviews and assessments
- Assess your qualifications, experience and suitability
- Collect and evaluate references
- Make and document hiring decisions
- Prepare offers and support immigration, relocation and onboarding where relevant
- Consider you for other suitable opportunities
- Improve the quality, consistency and fairness of our recruitment process
- Meet legal and regulatory obligations
- Protect our legal rights and respond to complaints or claims
Where applicable law requires a legal basis, we rely on:
- Steps taken at your request before entering into an employment contract
- Our legitimate interests in identifying, assessing and recruiting people, operating an effective hiring process and protecting our legal rights
- Compliance with legal obligations
- Your consent where we specifically ask for it, including for optional interview recording or transcription
You may withdraw consent at any time. This will not affect processing that occurred before consent was withdrawn.
Some core information is necessary for us to assess and manage your application. If you choose not to provide it, we may be unable to continue the recruitment process. Optional activities, including interview recording, transcription and candidate surveys, are clearly identified as optional.
How do we use AI?
We use technology to support, rather than replace, human judgement.
Lever may use AI to analyse application information against basic role requirements and help recruiters identify potentially relevant experience. Recruiters review this information, and candidates are not rejected solely by an automated system.
Where you agree, Gemini may be used to transcribe an interview or help the interviewer prepare notes. The interviewer reviews the output and adds the relevant human-written notes to Lever.

Interview recording and transcription
Some interviewers may offer to record or transcribe an interview. You will be told before this happens and asked to actively agree.
You are free to decline. Declining will not affect your application or how you are assessed.
Access to the original recording or transcript is restricted to the person using the tool. Relevant interview notes are added manually to Lever. The original recording and transcript are deleted within 30 days.
Who can access or receive your information?
Candidate information is only available to people who need it for recruitment or related business purposes. This may include:
- The ANYbotics Talent and People teams
- Relevant interviewers, hiring managers and decision makers
- Authorised members of senior leadership where necessary
- The relevant ANYbotics employing entity or local team
- Recruitment agencies supporting a search
- Reference, immigration, relocation or employment-administration providers where relevant
- Technology providers supporting recruitment, communication and onboarding
- Professional advisers, regulators or public authorities where legally required
Our principal recruitment systems include:
- Lever, our applicant tracking and recruitment system
- Google Workspace, including Gmail, Calendar, Meet, Chat and, where agreed, Gemini
- HiBob, used during the offer, onboarding and employment stages
- LinkedIn, used to identify and communicate with potential candidates
We do not use external background-check providers.
Service providers may only process candidate information for authorised purposes and subject to appropriate contractual and security requirements.
We do not sell candidate personal information or share it for cross-context behavioural advertising.
International processing
ANYbotics recruits internationally and works with teams and service providers in several countries. Your information may therefore be accessed or processed in:
- Switzerland
- Countries in the European Economic Area, including Germany and Ireland
- The United States
- The country where the relevant role, hiring team or employing entity is located
Lever hosts our European customer data in Frankfurt. HiBob’s primary hosting is in Ireland, with disaster-recovery infrastructure in Frankfurt. Google Workspace, LinkedIn and some of our other providers may process information in the United States or other countries.
Where personal information is transferred internationally, we use appropriate legal and contractual safeguards. These may include recognised adequacy decisions, data privacy frameworks or standard contractual clauses. You may contact us for more information about the safeguards relevant to your information.
How long do we keep your information?
We retain candidate information according to the location of the role and applicable legal requirements.
- For roles in Switzerland, Spain and other locations without a longer legal requirement, we generally retain candidate information for 12 months after the recruitment process ends.
- For US roles, we retain recruitment records for the period required by applicable federal and state law.
- For California roles, relevant recruitment records are retained for four years.
- If a complaint, investigation or legal claim is active or reasonably anticipated, relevant information may be retained until the matter is resolved.
- If you join ANYbotics, relevant information is transferred to your employee record and retained under our employee privacy and retention arrangements.
- Original interview recordings and transcripts are deleted within 30 days after relevant notes have been recorded.
We may consider you for suitable opportunities for up to 12 months after your recruitment process ends. You can ask us not to contact or consider you for future roles.
Where records must be kept for longer solely because of a legal requirement, we restrict their use accordingly.
Candidate experience surveys
After the recruitment process has ended, we may invite you to complete an optional candidate experience survey using Google Forms.
The survey is designed to be anonymous:
- It does not ask for your name or email address.
- It does not require you to sign in.
- We use the same general survey link for all candidates.
- Responses are not linked to your application.
- We do not use response timing to identify participants.
Please avoid including names or other information in your comments that could identify you or another person.
Individual survey responses are available only to authorised members of our Talent and People teams. The Executive Team receives aggregated reporting. Survey feedback is used to improve our recruitment process and does not affect current or future hiring decisions.
Individual survey submissions are retained for 12 months. Anonymous aggregated results may be retained for longer.
Your privacy rights
Depending on where you live and the law that applies, you may have the right to:
- Ask what personal information we hold about you
- Receive a copy of your information
- Correct incomplete or inaccurate information
- Request deletion of your information
- Restrict or object to certain processing
- Withdraw consent where processing is based on consent
- Receive certain information in a portable format
- Ask for information about international transfers
- Complain to a relevant data protection or supervisory authority
California residents may also have rights to know, correct or delete personal information and to receive information about the categories of information collected and disclosed. We do not sell or share candidate personal information for behavioural advertising.
Some rights are subject to legal exceptions. For example, we may need to retain certain records to meet employment-law requirements or address a legal claim.
We will not disadvantage you for exercising a privacy right.
To make a request, contact talentops@anybotics.com. We may need to confirm your identity before responding.
You may also complain to the Swiss Federal Data Protection and Information Commissioner or the data protection authority responsible for your location.
How do we protect your information?
We use appropriate technical and organisational measures to protect candidate information. These include access controls, approved systems, contractual protections and limiting access to people who need the information for their work.
Changes to this notice
We may update this notice when our recruitment process, technology or legal obligations change. The latest version will be published on our careers website.
